GST invoicing built around the optical counter

OptoSoft produces GST-compliant tax invoices from templates carrying your logo, GSTIN and store terms, and keeps tax reports and exports ready for your accountant at return time. Because frames, spectacle lenses, contact lenses, sunglasses and solutions can fall under different HSN codes and GST rates, set each product category up correctly once with your accountant - the invoice then picks the right tax line automatically at every sale.

Optical sales in India often span two visits: an advance when the lens is ordered and the balance when the glasses are collected. Agree with your accountant how advances should be treated, and check that the software records the advance against the same customer and order so the final invoice and your receivables stay reconciled.

UPI, advances and end-of-day reconciliation

Most Indian customers now pay by UPI, many still pay cash, and plenty split a bill between the two. OptoSoft's POS takes cash, card, UPI and cheque, including partial and split payments in a single transaction, and logs each payment type separately so the end-of-day cash report shows what should be in the drawer and what should be in the bank.

That split matters for chains: when every branch closes the day the same way, head office can spot a cash shortfall or an unrecorded UPI receipt the next morning rather than at month end.

Running a chain or franchise across cities

For multi-branch optical businesses, the key test is whether every store works on one customer database. In OptoSoft a patient's prescription history is visible in any branch, stock can be transferred between stores, and sales, stock and staff performance roll up into consolidated reports. Role-based access separates what admins, managers, sales staff and opticians can see and change.

Before rollout, decide what head office controls - product master, pricing and discounts, supplier purchase orders - and what each branch may change locally. Writing that down first avoids the most common chain problem: the same frame selling at different prices in different cities.

WhatsApp-first customers and regional realities

Indian optical customers expect updates on WhatsApp, not email. OptoSoft sends invoices, prescription slips and order-ready messages over the WhatsApp Business API, and the India plan includes Indian SMS-network integration for festival, birthday and eye-test reminder campaigns. Recalls timed to prescription dates and contact-lens expiry bring customers back without staff calling through a list.

OptoSoft runs in a browser on a desktop, tablet or phone, so a small shop can bill from a smartphone with its camera as the barcode scanner. In areas with patchy internet, keep a backup connection such as a mobile hotspot at the counter, and when evaluating any software, check that your staff can work comfortably in the interface language and that customer messages can be written in the language your customers read.
