What the time-zone overlap actually looks like

Vague promises about "overlap" are worth checking against a clock. Our team works from India (IST, UTC+5:30). A working day that runs into the evening in India covers the US morning: roughly 8:30am to 12:30pm Eastern, or 5:30am to 9:30am Pacific. That is a real four-hour window for stand-ups, reviews and decisions - not a token hour.

East Coast teams generally find this comfortable, because the overlap lands in their morning when planning happens anyway. West Coast teams get a narrower and earlier window, so we usually push more communication into written form: end-of-day summaries, recorded walkthroughs, and decisions written down rather than settled verbally.

The practical rule we work to is that no question from your side should ever wait a full day for an answer. Anything that would block work overnight gets raised before our day ends, so you wake up to a decision or a clearly-stated blocker rather than silence.

Contracting, IP and tax questions US clients ask

US companies engaging a non-US vendor tend to have the same three concerns, and it is faster to address them upfront. The first is intellectual property: our contracts assign all IP in the deliverables to you on creation, with contributor agreements behind them so there is no gap between what your contract says and what the individuals who wrote the code have signed.

The second is tax paperwork. As a foreign entity we normally provide a W-8BEN-E so you can classify the payments correctly, and India and the United States have a double-taxation treaty that most US clients' finance teams are already familiar with. Your own counsel or accountant should confirm treatment for your situation - we simply make sure the documentation you need exists and arrives without chasing.

The third is structure. Most engagements run on a master services agreement with per-project statements of work, which keeps commercial terms stable while scope changes. NDAs are signed before detailed discovery, and access to your systems is scoped to what the work genuinely requires.

Where US-offshore engagements usually go wrong

The common failure is not skill; it is ambiguity. Requirements that were clear in someone's head get interpreted differently eight and a half time zones away, and the gap only surfaces at review. The defence is unglamorous: small increments, working software shown frequently, and written acceptance criteria agreed before a ticket starts rather than argued about after.

The second failure is a team you cannot see. If the only visibility you have is a weekly status call, problems stay hidden until they are expensive.
